How to Automate, Delegate, and Systemize Your Business for Long-Term Growth and Freedom

1. Automate the Repetitive Stuff

At both Greenbox Storage and FounderBrands, I had to automate quickly so we could scale. The quicker you recognize what can be automated, the quicker you’ll remove yourself from the day-to-day.

Look at your daily workload and ask: What can be automated?

  • Scheduling & Invoicing: Use tools like Calendly, QuickBooks, or Stripe to remove the back-and-forth.

  • Email & Marketing: Automate follow-ups, nurture sequences, and social media posts with tools like Mailchimp or Buffer.

  • Customer Support: Chatbots and pre-written FAQ responses can handle common questions, saving you from answering the same thing 100 times.

2. Delegate Like a CEO

If you’re doing everything yourself, you’re the bottleneck. Period.

Start by hiring or outsourcing the tasks you don’t need to be doing.

Ask yourself:
✅ What am I not good at? (Hire someone better).
✅ What drains my energy? (Delegate it).
✅ What’s repetitive but necessary? (Outsource it).

Building a solid team (even if it’s just freelancers to start) allows you to focus on strategy, growth, and leadership.

3. Systemize Everything

A business that runs without you needs clear systems for how things get done.

Every process - hiring, onboarding, sales, marketing - should be documented and repeatable.

How to do it:

  • Write SOPs (Standard Operating Procedures). Step-by-step guides for how key tasks are done. (Get my SOP Creation Method).

  • Use project management tools. Asana, Notion, or ClickUp keep everything organized.

  • Train your team to follow the systems. If you have to micromanage, the system isn’t working.

When your business runs on systems, not you, it scales faster and you gain the freedom to step back when needed.

If you’re the only one who knows how to do something, you’re a liability to your own business.

4. Test Stepping Away

Here’s a challenge:

Take a real break from your business, just for a day or two.

No emails, no check-ins, no emergency calls.

If everything falls apart, you’ll immediately see where your weak spots are.

If things run smoothly? You’re on the right track.

The goal is to create a business that’s self-sustaining so you have the option to step away without everything collapsing.
